Research Visitors - COVID-19 Procedures

Boilerplate email to research visitors from sponsoring staff member

Info
titleExample email text

This email details important protocols for your upcoming research-related visit to Purdue’s campus. Please review this email, the appropriate links, and return the attached checklist (a pre-filled version of that linked at the bottom) to me prior to your visit.

I will be your campus contact/sponsor for the visit, so if that information is requested you can use my name and email. Please be aware that the state of Indiana (link, and link), the city of West Lafayette (link), and Purdue University (link) all have mask mandates that will be in effect for the duration of your visit.

If we will be spending >15 minutes closer than 6 feet over the course of the visit, I will need to wear a face shield as a Purdue employee. Please let me know if you would like one as well, and I will ensure it can be provided for you.

  1. Please review the CDC’s COVID-19 symptoms list and confirm that you are not currently ill or having symptoms of COVID-19. Any visitors must reschedule the campus visit if ill or showing symptoms associated with COVID-19 symptoms, as defined by CDC in the preceding link. This requirement will hold prior to and throughout the visit. Please also inform me if any of these symptoms are developed within 14 days of the end of the visit.
  2. Please review the COVID-19 On-Site Safety Training for Visitors and Contractors video, and complete the Qualtrics survey. Again, my information should be used as the campus contact/sponsor.
  3. A cloth face mask, surgical mask, or better must be worn while on campus. This must be worn in all common areas, hallways, and research spaces. Please review the current guidance for face masks.
  4. Hand sanitizer use and/or frequent hand washing must be practiced throughout your time on campus.
  5. All building signage, marked pathways, and other building/research space guidance must be followed.

Please complete the attached Purdue Research-Related Campus Visitor Safety Checklist and return it to me.

Plan for BNC visitor(s) and sponsoring BNC staff member

 Prep work for sponsor:

  • Enough level 1 surgical masks for all visitors (will be provided to visitors in parking lot)
  • Secure commercial bottles of water, place them inside SE stairwell exit

From parking lot to cleanroom

  1. Meet visitor(s) in the Discovery Park Parking Lot, provide them with level 1 surgical masks.
  2. Escort into BNC, though back staircase entrance.
    1. Use hand sanitizer on hand.
    2. Wipe down phones with 2% Hydrogen Peroxide spray on cleanroom wipe.
    3. Get safety goggles for use in labs or cleanroom, if needed.
  3. Bring to second floor bathroom for pre-cleanroom bathroom break.
  4. Proceed to cleanroom aisle to wipe down any large items, move them into blowdown room.
  5. Complete pre-gowning, with sponsor demonstrating first, then visitor(s), one at a time.
  6. Sponsor checks video monitor and ensures gowning room is empty. Explains procedure for entrance (one at a time into air shower, hands up, turn around 3 times, then enter and wait). Swipes ID card and holds open, allowing visitors to enter one by one. Sponsor enters last.
  7. Wedge open door inner door between gowning and pre-gowning to ensure no others can enter the gowning room. Throughout gowning time, sponsor will motion to any trying to exit cleanroom to wait.
  8. Sponsor collects gowning garments for visitors, including M3 masks.
  9. Sponsor instructs visitor(s) in how to safely remove their mask, put that mask in their pocket, and don the M3 masks. Sponsor is wearing M3 mask after this, and uses hand sanitizer.
  10. Visitor(s) don M3 masks, one by one. Sponsor offers hand sanitizer to visitor(s) immediately after M3 mask donning.
  11. Sponsor and visitor(s) gown up and glove up.
  12. Sponsor and visitor(s) wipe down any items with 10% IPA on cleanroom wipe to remove particles.
  13. Sponsor instructs visitor(s) to enter cleanroom air shower into cleanroom (one at a time into air shower, hands up, turn around 3 times, then enter and wait), and wait by entrance door, keeping >6 ft distance from any BNC personnel.
  14. Sponsor allows door from pre-gowning to close, then enters the air shower/cleanroom.
  15. Sponsor directs visitor(s) to cleanroom visit area, ensuring 6 feet of distancing between visitor(s) and any other users throughout the visit. Sponsor dons face shield if visit will require >15 minutes at a distance of <6 ft.
