General Office Policies
Freelance Consulting
Staff may perform freelance consulting inside or outside the University during hours when they are not working for Customer Service Center as long as the work does not impede the performance of their job, imply the Customer Service Center warranty for work done, or fall within an area of service the Customer Service Center provides. If a staff member is unsure if the Customer Service Center is already providing this type of service, the staff member should contact leadership for additional information. Staff members are not allowed to use Student Technology Fee funded resources (computers, disk space, printers, photocopying equipment, etc.) for work unrelated to their employment with the Customer Service Center or their University sanctioned, academic activities.
Lost and Found
If you find a valuable item (like a wallet, credit card, checkbook, etc.) abandoned in the office you should notify leadership immediately so that he/she can arrange to contact the owner and keep the valuable item in a safe place until the owner claims it. All other found items should be placed at the owner’s desk.
Noise Level
The noise level in the office should be kept down during business hours, when we receive many phone calls and visits from clients and other university staff. When talking to co-workers, use your best judgment at the volume your voice projects. Remember to keep noise levels down during business hours and anytime the staff is in the office trying to get work done.
Music is allowed in the office so long as it is maintained at a reasonable level, and is turned down when people make or receive phone calls, or when visitors stop by. The state of our office is the first impression of our organization for many people, and it should be a professional one. Each computer is equipped with desktop speakers, please be responsible in what is played. If you choose to listen to music at work it should be non-offensive and in general good taste. Headphones should be used sparingly, as they impair your ability to hear discussions within the CSC. Headphones should never be worn in HSSE.
Dating Relationships
There will be no dating relationships between ITaP Customer Service Center staff.
Guests
No guests are allowed in the office for an extended period of time. We must enforce this policy for safety and liability, as we routinely have access to sensitive and government regulated information.
Bicycles
We love bicycles and hope many of you bike to work. Unfortunately, our office is too small to accommodate bicycles inside. Bicycles inside the office become a safety hazard and prevent access to our office resources. Therefore, bicycles are not allowed in the office.
Games, Pornography, Instant Messaging, and Paid Internet Browsing
While on duty, you are not to play games, watch videos - including live sporting events - or view, display, or print pornography from any computer in the office. Also, while on duty, you are not to use any websites that pay you to browse the internet. Instant Messaging should be limited to work correspondence.
Homework and Personal Distractions on Shift
Reps are an important resource for the Customer Service Center customers and they should give full attention to the customers and their computing needs. In order to achieve the highest standards of customer service, all Reps should remain focused on performing job related duties while on shift. Reps are not allowed to do homework, read books, play games, visit with friends or perform other tasks related to personal interests or business. If nothing else, the Rep can always perform cleaning of the office.
Printing in the CSC
Printing in the CSC should be kept to a strict minimum. Please refrain from printing lecture notes, assignments, club flyers, etc. on our printers. It is acceptable to print items asked of you by a Rep Supervisor or Specialist. These items are work related and deemed suitable to print. Any other items needed should be printed out in an ITaP lab with the usage of the student printing quota.
Lunch Breaks & Food
The Purdue Memorial Union is an approved place to get food. Please do not go to Chauncey Mall or further to get food while on the clock. Drinks and food will be allowed as long as they are consumed discretely. Please clean up any food mess you have made. If you decide to go get food on a break, please make sure that we are adequately staffed before leaving the office; also make sure you let a Specialist or Rep Supervisor know where you are going and when you will be back. For Representative, lunch breaks are limited to ½ hour unpaid time and only awarded for shifts over 5 hours in length. You are responsible for clocking out/in for your lunch break. Lunch break policy adherence failure will result as an unexcused absence and additional attendance points will be rewarded. If this policy is abused, a Manager reserves the right to enforce the banning of drinks and food.
Off-Duty & After-Hours Use of the Office
The office and the workstations in the office are for work use only. You should not be using the office facilities during non-business hours or when you are not on-duty. Violation of this policy may result in termination. Off-hours cubes are provided for Rep use as space is available.
Tobacco Use
No tobacco products are to be used in the CSC or HSSE.
