Opening and Closing the CSC (including HSSE)
Arriving at the Office
When you get to the office you must clock in using Kronos to indicate you have arrived in the office. Unlock the office doors so people can get into the office and turn on room lights if not already on.
Log into at least one phone before or at the time the office is opening (7:00am or 12:00pm). Avoid logging into the phone earlier than the scheduled hours of operation.
Straighten up all workstation areas, including monitors, keyboards, mice and mouse pads. Push in all chairs and make sure all desks are clean.
Make sure the printer is filled with paper and ready to print. Clean up all paper around the printer.
The Customer Service Center Voicemail service should be checked, all messages recorded in tasks, and then worked as normal tasks. Returning calls to users should be done at an appropriate hour.
Begin looking through the previous night’s email queue and answering those. Emails that require simple canned responses should be answered first while follow-ups should be made when appropriate responses can be generated. Unlock the HSSE doors, and turn on the main light banks. Return the HSSE key to the G68 front desk, make sure no trash is lying around HSSE desk.
Leaving the Office
It is expected that by closing time (8:00pm or 6:00pm), the following tasks have been completed:
- All ‘unassigned’ queues have been cleared of cases.
- Straighten up all workstation areas, including, monitors, keyboards, and mice. Push in all chairs and make sure all aisles are clear. Wipe down mice, monitors, phones, and keyboards.
- Wipe down the tops of the metal cabinets, the HSSE desk, and all workstation desks.
- Make sure the printer is filled with paper and ready to print. Clean up all paper around the printer and place it in the trash can if no one claims it.
- Pick up any trash around the office and put it in the trash can and take out if container is full.
- Throw away trash, and wipe down desk in HSSE.
At closing time:
- Turn off all lights when you leave G68 and HSSE.
- Ensure that all phones are set to flashing Make Busy (push Make Busy button until the indicator is flashing).
- Make sure you use Kronos to indicate you are leaving.
- Lock the office doors securely when closing the office.
Under no circumstances are Reps permitted to close the office early!
